WHAT IS HIPAA-COMPLIANT TRACKING (In short)

HIPAA-compliant tracking and analytics for healthcare marketing. BAA-covered Google Analytics, call tracking with PHI redaction, server-side conversion APIs, and OCR-audit-ready documentation. Standalone setup is $1,497 one-time plus $397 per month, or included in our SEO plans. Most practices have 3 to 7 HIPAA gaps in their current tracking.

Why Healthcare Tracking is Different

Most marketing analytics setups for healthcare practices look fine on the surface. Google Analytics 4 installed. Maybe call tracking via CallRail. A Facebook Pixel. And then a quarterly report from the agency showing impressions, clicks, and some calls. The problem: that stack almost certainly has multiple HIPAA gaps that would fail an OCR audit.

Standard GA4 collects URL parameters, IP addresses, and referrer data. Some of that can constitute PHI in a healthcare context – a URL like “/confirmation?patient=jane-doe&procedure=botox” exposes both identity and treatment. Consumer-tier call tracking records calls without BAA. Facebook Pixel sends conversion data to Meta without a healthcare BAA.

RankingMedic’s tracking stack is BAA-covered top to bottom. Every vendor in the marketing analytics chain has a signed Business Associate Agreement. PHI is scrubbed before it hits the analytics layer. Attribution still works – we measure cost-per-booked-consultation, conversion rate, and closed-treatment-revenue. We just do it without exposing patients.

What is Inside Our Tracking Setup

Standard install, used across all our SEO and ads engagements.

HIPAA-compliant Google Analytics 4. Configured to scrub PHI before any data hits GA4. URL parameters sanitized. IP anonymization. User-ID strategy that does not expose patient identity.
BAA-covered call tracking. Call tracking vendor with signed BAA. Recordings encrypted, PHI auto-redacted. Track call duration, source ad, source keyword.
Form-submission tracking. Form fills tracked as conversions without storing PHI in marketing platforms.
Conversion API (CAPI). Server-side conversion tracking for Google and Meta that lets us measure attribution without dropping PHI into ad-platform databases.
Cal.com / Acuity booking attribution. Online bookings tied back to the click/keyword/campaign that drove them.
Cost-per-booked-consultation report. Monthly dashboard showing dollars in (ad spend + management fees) and dollars out (booked consultations, attributed revenue).
Patient journey reporting. First-touch attribution, multi-touch attribution, time-to-conversion. See which channels initiate vs close.
Cookie consent and privacy policy. Cookie banner configured per OCR guidance. Privacy policy reflects actual tracking practices.

Frequently Asked Questions

Is Google Analytics 4 HIPAA-compliant?
Not by default. GA4 does not offer a BAA. With PHI scrubbing at the data-collection layer (which we configure) GA4 can be used safely in healthcare contexts. Without that scrubbing, you have a HIPAA gap.
Can you take over an existing tracking setup?
Yes. Most clients come to us with an existing stack that has HIPAA gaps. We audit, document the gaps, and rebuild on BAA-covered infrastructure.
What if we already use CallRail / Marchex / etc?
Most major call tracking vendors offer BAAs on enterprise tier. We confirm BAA status, upgrade if needed, configure PHI redaction. If your vendor does not offer a BAA, we migrate.
Do you handle Facebook Pixel for healthcare?
Carefully. Facebook does NOT offer a healthcare BAA. We either disable Pixel entirely (most common) or use server-side Conversions API with PHI scrubbed. Pixel as installed for ecommerce sites is a HIPAA violation in healthcare.
What does it cost?
Standalone tracking setup is $1,497 one-time + $397/month maintenance. Bundled with our SEO/Ads plans, tracking is included.
How long does the install take?
Most setups are live within 7-10 business days. Multi-location or multi-vendor setups can take 2-3 weeks.
